Admin, Order Fulfilment (1 Year, German MNC, up to $4k) #HYN

Reports to: Associate Manager, Operations, VIS

Below is the job description for the role :

Supports the end-to-end order fulfilment process by ensuring timely and accurate order preparation and processing. The role primarily focuses on Order Processing while providing operational support across Logistics and Warehouse functions to ensure smooth daily operations.

Acting as a key liaison between Order Processing, Logistics, Warehouse and Customer Service, the incumbent helps maintain a continuous workflow from order receipt through dispatch while supporting operational excellence and customer satisfaction.

As part of the role's development roadmap, the successful candidate will receive cross-functional training across order processing, warehouse operations and logistics coordination, enabling greater operational flexibility and business continuity.

Primary Responsibilities

1. Order Processing (Primary Function)

• Prepare and prioritize customer orders to ensure a continuous and balanced workflow for the Order Processing team.
• Process customer orders accurately and efficiently in accordance with established procedures and service level agreements (SLAs).
• Verify order information including product availability, pricing, customer details and shipping requirements prior to processing.
• Monitor order queues and coordinate with Logistics to maintain smooth order flow throughout the day.
• Update order status accurately within the Order Management System.
• Identify and resolve routine order discrepancies, escalating complex issues where necessary.
• Coordinate closely with Customer Service, Warehouse and Logistics to ensure timely order fulfilment.
• Support inventory reconciliation and order verification activities where required.
• Identify workflow bottlenecks and recommend process improvements to enhance operational efficiency.

2. Logistics & Warehouse Support (Secondary Function)

• Prepare, pack and organise completed orders for dispatch.
• Coordinate with external delivery providers and act as the point of contact for delivery-related matters.
• Ensure special delivery requests and urgent deliveries are fulfilled accordingly.
• Handle ad-hoc collection and delivery requests, including internal document runs and banking activities where required.

General Responsibilities

• Work collaboratively with Order Processing, Customer Service, Logistics, Warehouse, Sales and Finance teams.
• Ensure compliance with company policies, quality standards and operational procedures.
• Maintain accurate operational records and documentation.
• Support business continuity by providing operational assistance during peak periods or manpower shortages.
• Participate in cross-training initiatives to broaden operational capabilities.
• Undertake any other duties assigned by the supervisor

Requirement:

• At least 2-3 years of experience in order fulfilment
