Key Responsibilities and Duties
• Work closely with the IPC team to execute work plans to deliver value to patient and staff.
• Support IPC team in the IPC related operation of pre-operation wards/clinics over multiple hospitals/sites as assigned.
• Support the implementation of IPC Programme which include but not limited to the following:
• Prepare IPC related reports (e.g. surveillance indicators, incident/outbreak report, programme update, etc.) in a timely & efficient manner.
• Together with clinical lead, conduct literature review on evidence/guidelines supporting IPC interventions.
• Support IPC related initiatives/projects/research, which includes but not limited to:
• Draft proposal for new initiatives/projects/research with relevant stakeholders,
• Plan, coordinate & implement initiatives/projects/research,
• Collaborate with all stakeholders to ensure projects are delivered on time, on budget & with a determined level of quality,
• Work with the IPCO leads in financial management, e.g. coordinate budgeting and track budget utilization
• Support IPC related event/audit/training activities, where necessary.
• Plan, coordinate & assist in event/audit/training activities,
• Design training/education materials (e.g. poster, video, eLearning, etc.) with inputs from IPC team,
• Manage eLearning program, including uploading, updating, assignment tracking of the eLearning modules.
• Provide secretarial support to the IPCO, including but not limited to the following:
• Coordinating schedules and appointments/meetings,
• Prepare presentation materials for meeting with inputs from IPC team,
• Record meeting minutes and coordinate on meeting follow-up,
• Inform/Remind IPC team members on important matters and timelines,
• Coordinate IPC team member's training/leave schedules as planned.
• Monitoring trend, analyze/interpret data and support the strategies/plans to address the challenges & changing needs, which include reviewing of plans/workflows/requirements.
• Assist & support process reviews, recommend work re-design, anticipate adjustments & implement change according to external factors, partners & changing needs.
• Assist in coordinating the collation of activities, data, reports from other departments for IPC team to have an overview of hospital activities which fall outside the routine IPC surveillance work.
• Provide administrative support to IPC team
• Resource management e.g. stationary, assets, etc.
• Database management, e.g. training records, etc.
• Update & maintain departmental files, such as KPIs, policies, work instruction, orientation, etc.
• Supervise junior staffs (e.g. Executive Assistant) in the department & delegate tasks accordingly, where necessary.
Job Requirements
• Min Degree in any discipline from a recognised institution, preferably in health science
• Have prior experience in IPC/administrative/secretariat/managerial in healthcare settings will be an advantage
• Proficient in Microsoft Office applications (e.g. PowerPoint, Excel, Word, etc.)
• Experience in healthcare application/software (e.g. SAP, eLearn LMS, etc.) will be an advantage
• Have working experience in IPC related works and research will be an advantage
• Competent in multimedia skill (e.g. poster design, video/audio shooting & editing, etc.) with experience in multimedia software will be an advantage
• Competent in project management
• Have strong communication (including report/presentation writing) & interpersonal skills
• Excellent organization & prioritizing skills
• Resourceful, responsive & discipline
• Able to work efficiently & independently
